Appendix 2: Source Citation Form
Bibliographic sources used in establishing descriptors are recorded on the AAT Source Citation Form, then input into the AAT citation database, a subprogram that holds full citations for all monographic and serial sources entered in AAT term records. Only sources that are actually used as warrant for a term, as opposed to simply having been consulted, are entered into the citation database. Each citation record is linked to all references in the system to the cited source by means of its source code, a string of up to six alphanumeric characters. The thesaurus system will not accept a source code for which there is no corresponding citation record. The citation database thus helps maintain data accuracy in the online thesaurus system. The citation databases is searchable by source code, author, and title. The source citation form is filled out by editorial staff during term research, and input into the citation databases by designated staff. One side of the form is for citations to monographs, the other for citations to serials, such as journals. The location of the source should be recorded, and photocopies of the title and copyright pages should be attached if possible.
A temporary source code may be assigned when doing work off-site. AAT source codes are unique alphanumeric codes of up to six characters. If the code has already been used in the AAT online thesaurus system, a new code will be assigned later.
The AAT citation database already contains thousands of entries. To save time, sources used by an International Terminology Working Group partner may be checked in the database before beginning work.
